HR Assistant (Part-Time, Fixed-Term – 6 Months)

Bargain Chemist is one of New Zealand's fastest-growing retail pharmacy groups, and we are looking for an enthusiastic, proactive, and detail-oriented HR Assistant to join our Head Office team.

This is a newly created role within our HR function, designed to provide essential administrative support to our HR Manager and HR Administrator. You will gain exposure to a wide range of HR activities while helping ensure our people processes run smoothly, efficiently, and accurately.

This is a hands-on role, ideal for someone who enjoys administration, is passionate about supporting people, and wants to develop their career in HR. You will work closely with HR, Payroll, hiring managers, candidates, and employees, helping to coordinate important HR processes throughout the employee lifecycle.

The position is offered as a part-time, fixed-term contract for six months (20+ hours per week). As our business continues to grow, there is genuine potential for the role to increase in hours and transition into a permanent position.

Key Responsibilities

  • Provide day-to-day administrative support to the HR Manager and HR Administrator.
  • Prepare employment agreements, contract variations, letters, and other HR documentation.
  • Assist with onboarding new employees, including preparing documentation, onboarding packs, and ensuring records are completed accurately.
  • Maintain accurate employee records, HR databases, and personnel files.
  • Coordinate communication between HR, Payroll, hiring managers, candidates, and employees to ensure information is accurate, timely, and complete.
  • Support payroll processes by ensuring employee documentation, changes, and updates are provided accurately and within required deadlines.
  • Assist with recruitment administration, including advertising vacancies, scheduling interviews, communicating with candidates, and completing reference checks.
  • Monitor the HR inbox and respond to routine employee and manager enquiries.
  • Prepare HR reports, spreadsheets, and correspondence.
  • Maintain training records, compliance documentation, and employee files.
  • Coordinate reminders for probation reviews, 30-60-90 day reviews, performance reviews, and other key employee milestones.
  • Assist with organising interviews, meetings, training sessions, and other HR activities.
  • Support continuous improvement of HR administrative processes, templates, and document management.

About You

We are looking for someone who is organised, reliable, enjoys working with people, and takes pride in delivering accurate and high-quality administrative support.

Ideally, you will have:

  • Previous administration experience in a busy environment.
  • A genuine interest in developing a career in Human Resources
  • Strong attention to detail and a high level of accuracy.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Intermediate Microsoft Office skills, particularly Word, Excel, Outlook, and Teams.
  • Ability to manage confidential information with professionalism and discretion.
  • A proactive attitude with the ability to work independently and as part of a team.
  • Confidence communicating with different stakeholders across the business.
  • Experience in HR administration or Payroll administration would be a bonus but is not essential.
  • A willingness to learn and develop your HR knowledge.
